This Privacy Notice sets out the basis on which the School of Creative Wellness Ltd (“we”, “our” or “us”) will process the personal information (“Personal Data”) that we collect from and about users of our website schoolofcreativewellness.live, and customers who purchase events, attend our events, or subscribe to our newsletters.

Who we are
The School of Creative Wellness Ltd is the Data Controller for any Personal Data you submit to us or that we collect from or about you. The Personal Data we collect
We collect the following Personal Data from or about you as a customer or website visitor:
- Information you give us when you book or check out — your name, phone number, postal address and email address. Our lawful basis for collecting and processing this data is the performance of the services you have purchased.
- Information you give us in a booking or health questionnaire — your name, contact details, emergency contact, GP details and relevant health, accessibility and dietary information. Our lawful basis is the performance of our services and protecting your vital interests (your safety during activities).
- Information collected automatically when you use the website — your IP address, the date and time of your visit, the pages you access, HTTP status, your browser, operating system and device, and your language settings. Our lawful basis is our legitimate interest in operating the website securely and providing the pages you request.
How we use your data
- To administer your purchases and our events, and to contact you about your booking and attendance.
- To process payments for the events you have requested.
- To contact you with marketing messages you have requested or agreed to receive (for example, our newsletter).
- To contact you with surveys and feedback requests.
- To understand how our customers use the website and to improve it.
- To help keep you safe by ensuring we have sufficient information about any health conditions or injuries, and to identify any reasons it may be unsafe for you to take part in an event.
Cookies and analytics
Our website uses cookies and similar technologies — small files stored on your device when you visit. Strictly necessary cookies are always active so that the site functions and can be served securely. Analytics and performance cookies are only used once you have given consent through our cookie banner, which is managed by Complianz. You can change or withdraw your consent at any time via the cookie settings on our website.
We use Google Analytics, a web analytics service provided by Google, to understand how visitors use our site in an anonymised, aggregated form. Google Analytics sets cookies to recognise your browser and record the times and dates of interactions with the site. We have set the data-retention period to the minimum available of 14 months. You can opt out of Google Analytics by installing the browser add-on available at https://tools.google.com/dlpage/gaoptout.
How your data is shared
The School of Creative Wellness Ltd will not sell your information. We will not share your information with any third party except as set out in this notice, or as required to operate the website, provide our services to you, and administer your account. We use the following third-party processors, who act on our behalf:
- Website hosting and platform — our website is built on WordPress and hosted by our web hosting provider, who stores the website data securely on our behalf.
- Amelia — our booking and scheduling system, used to take and manage class, workshop and event bookings.
- WooCommerce — the e-commerce system that processes your orders and subscriptions on our website.
- Stripe — our card payment processor. Where you pay by card, we share the information needed to process and verify the payment, including your card details, cardholder name, billing address and details of the event purchased. See https://stripe.com/privacy.
- Direct bank transfer (BACS) — where you choose to pay by bank transfer, your order details are recorded so that we can reconcile your payment.
- HubSpot — our email marketing and customer relationship management (CRM) platform, used to store contact details and to send newsletters and service emails you have agreed to receive. See https://legal.hubspot.com/privacy-policy.
- FreeAgent — our accountancy software, used to manage invoicing and company accounts. When you purchase an event, your name, email address and, in some cases, telephone and postal address are shared with FreeAgent along with purchase details. Where you pay by direct debit or invoice, FreeAgent may contact you on our behalf with payment and invoice information. See https://www.freeagent.com/privacy/.
Where we run advertising campaigns, we may use advertising pixels such as the Meta (Facebook) pixel to measure their effectiveness. A pixel is a small transparent image that allows us to see, in aggregate, whether an advertisement led to a purchase; it does not allow us to identify you individually.
Marketing emails
We may send you marketing emails, which you can unsubscribe from at any time by clicking the link at the bottom of any email, or by contacting us at info@schoolofcreativewellness.live. These emails are sent through HubSpot on our behalf.
Data security
- We maintain technical and physical safeguards designed to protect the security and integrity of your Personal Data and to guard against accidental or unauthorised access, use, alteration or disclosure. These measures include encryption, firewalls and virus-checking procedures.
- Where we keep Personal Data on local devices, those devices are protected and accessible only to authorised School of Creative Wellness Ltd personnel.
- We regularly review our security systems to ensure your Personal Data remains safe and secure.
How long we keep your data
We will retain records of your Personal Data:
- for as long as you remain a registered subscriber to our mailing list;
- for as long as you remain a registered user of our website;
- where you have completed a purchase with us, for up to 36 months; or
- for as long as is necessary to provide our services to you.
We will retain all health forms for 7 years from the date of completion or from the date of the last class you attended.
Your rights in relation to Personal Data
You can update your subscription preferences or unsubscribe from our marketing communications at any time using the link in the footer of the last email you received, or by sending your request to info@schoolofcreativewellness.live.
You have the right to update and correct the personal information on your account. You also have the right to request all personal information we hold about you, to request restriction of its processing, and to request that we delete it. Where allowed by law there may be an administrative charge for supplying copies of data, and we may require appropriate identification before complying. You also have the right to object to our continued processing of your data, and you may have the right to data portability. If you have a complaint about how we use your personal information, you have the right to complain to the Information Commissioner’s Office at www.ico.org.uk.
Changes to this notice
We will update this Privacy Notice from time to time to reflect changes in our business. All such changes will be posted on our website, and where appropriate we will notify subscribers of any material changes by email.
